How To Manually Backup Your Microsoft Entourage Email Database

Time Machine cannot backup your Microsoft Entourage email database properly because it is usually "in use" (via the Microsoft Database Daemon). So you should regularly back it up manually.
NOTE: This article does not apply to Microsoft Outlook for Mac. Time Machine is compatible with Microsoft Outlook for Mac.
If you use Time Machine make sure it is not backing up your Entourage database
  1. Restart your computer.
  2. Quit all running applications.
  3. Go to Apple menu > System Preferences > Time Machine > click the "Options…" button.
  4. If "~/Documents/Microsoft User Data" is already listed click the "Cancel" button, Quit System Preferences and skip to the "Instructions For Manually Backing Up The Microsoft Entourage Email Database" section below.
  5. Under the 'Exclude these items from backups' list click the "+" button.
  6. Navigate to Macintosh HD > Users > your home directory > Documents and select the "Microsoft User Data" folder.
  7. Click the "Exclude" button.
NOTE: You only need to do the above once. Once you've set Time Machine correctly you can use the manual backup instructions below.
Instructions For Manually Backing Up The Microsoft Entourage Email Database
  1. To be safe, in preparation for backing up:
    • Restart your computer.
    • Quit all running applications.
  2. Go to Macintosh HD > Users > your home directory > Documents folder.
  3. Connect or mount your backup volume/device.
  4. Drag the "Microsoft User Data" folder to your backup volume/device.
  5. NOTE: If you've done this backup at least once before the OS will warn you that an older item (with the same name) already exists in this location. That's okay, just click the "Replace" button. NOTE: The key here is to duplicate/copy the "Microsoft User Data" folder somewhere. At the very least you can duplicate/copy this folder to your boot disk (but this won't protect you from boot disk hardware failure) so it is recommended to duplicate/copy this folder to an external storage device but another option is to burn the folder to a CDR/DVDR or regularly write it to a CDRW/DVDRW. NOTE: Do not just "move" the folder. If you do this Entourage will recreate the "Microsoft User Data" folder and it will appear that all your email/Entourage data has gone. If this happens quit all running applications and move the "Microsoft Data Folder" back to your 'Documents' folder. NOTE: You should back up Entourage using these instructions as regularly as required. If you use email a lot every day you probably want to be backing up once a day. If it's less back up weekly or at worst at least once a month.
